1. Information We Collect

Depending on the services you use, we collect contact and account information such as your name, email, telephone number, account credentials, and event contacts. For inquiries and bookings, we collect event type, date, location, schedule, service selections, availability requests, reservations, Date Holds, quotes, contracts, signatures, and information you supply about guests or collaborators. We also collect planning materials such as music requests, playlists, notes, uploaded documents, media, and shared event information.

Payment-related records include invoices, transaction amounts, fees, payment status and references, refunds, and receipts. Online payment details are processed through supported payment providers; our application does not store raw card numbers. When you use Connect, we collect conversations, contact details you provide, and files you choose to upload; messages may be processed through AI or communications providers to supply answers and support.

We also collect technical information necessary to run and secure the website, including device and browser details, IP addresses, request times, security logs, session identifiers, cookie choices, and optional browser notification subscription details.

2. How Information Is Used

We use information to answer inquiries, prepare estimates, verify availability, manage competing Date Holds, provide booked services, coordinate with authorized entertainers and event collaborators, operate playlists and planning tools, manage invoices and payments, deliver receipts, send service communications, provide customer support, detect fraud or misuse, and meet applicable legal and accounting obligations. We may tailor service-related communications to your event needs. Where promotional communications are provided, applicable opt-out controls apply.

3. When Information Is Shared

Authorized Xcite Music Entertainment personnel access customer information for legitimate operational reasons. When necessary to fulfill a request, we share relevant information with event entertainers, collaborators, vendors, and service providers. Examples of providers include AWS for application infrastructure and storage, payment processors such as Stripe and PayPal, email and notification delivery providers, and AI services supporting Connect. Providers may process information under their own privacy terms. We may disclose information when required by law or to protect rights, users, and the service.

4. Cookies, Browser Storage, and Media

Essential cookies and browser storage support authentication, account security, quote and planning preferences, Connect conversation access, and interface settings. We retain your cookie preference for approximately six months. Optional YouTube embedded videos and music previews can load third-party cookies or storage; they remain unloaded until you permit embedded media or explicitly allow an individual preview. We do not intentionally activate optional advertising or analytics trackers through the existing public consent system. You can update optional media choices using Cookie Settings in the website footer.

Connect device notifications require a separate browser permission and optional push subscription. Accepting the Privacy Policy or cookie preferences does not itself enable browser notifications.

5. Retention and Security

We use access controls and reasonable technical and organizational safeguards in our AWS-hosted or local systems. Connect attachments are scheduled for deletion after seven days; this period applies only to attachments, not Connect conversations, account records, or event messages generally. Booking, contracts, accounting, payment, and support records may be retained as necessary for operations and legal obligations. Retention varies by record type. No online system can guarantee absolute security.

6. Your Choices

You may reject optional embedded media, change Cookie Settings, disable Connect notifications, and update information available in your account. To request access to, correction of, or deletion of personal information, email services@xcitemusic.com. We may need to verify your identity and retain records required for contractual, security, or legal reasons. Please do not upload another person's sensitive information unless needed for your event and authorized by that person.

7. Children, Changes, and Contact

Our website is not directed to children under 13. Contact us if you believe a child submitted information without appropriate permission. We may update this policy as our services or practices change, with a new effective date and renewed choices where appropriate.
